TRIPS / EVERYDAY GUIDE

Plan privately.
Share intentionally.

Everything below happens in the browser. You do not need code or AI. Trips uses the same account as GreatAnh and Money; who may open Trips is controlled in GreatAnh Hub Admin.

Let someone use Trips

Hub Admin > User access

  1. If they have no GreatAnh account yet, use Invite someone at the bottom of User access. For a shared family or travel account, invite one email address the family can use.
  2. In the user table, turn on the Trips switch for that account. This lets them open Trips; it does not show them any trip yet.
  3. In Trips, open your trip and use People & sharing > Add or change an existing account. Choose Editor for your spouse or Viewer for family.

Editor sees private plans and can share updates. Viewer sees only the family-facing title and updates you share. Trips access never grants Money or other apps. A Viewer can still start their own separate trips; they never see yours unless added.

Plan a trip together

  1. Choose Plan a trip. Enter dates, destination, optional budget and private notes. A four-month stay is one trip.
  2. Plan > Add a stop for each place (for example Hanoi Jan 1-20, Da Nang Jan 20 - Feb 15). Itinerary items group themselves under the right stop and day.
  3. Add itinerary items, to-dos and saved links. Use Edit on any item to change it.
  4. Bookings: flights (with one-tap status and delay links), lodging, transport and documents. A passport that expires within 6 months of the trip end shows a warning. Store only the expiry and last few digits.
  5. Packing: Add suggested packing list, then tick items as you pack.
  6. Add your spouse as an Editor so you can plan together.

The budget is a plan only - not actual spending and not converted between currencies.

Share rough plans with family

  1. In Family, write an update such as "Considering Da Nang next month".
  2. Choose Post to family to share it at once, or Save as private draft to share later.
  3. Use Edit to fix it, or Stop sharing to hide it again.
  4. Family comments appear under each update and under General comments. Remove any you like. Comments are not urgent messages; family should call for anything urgent.

Family never sees your private notes, budget, plans, bookings or packing - only shared updates and comments. Avoid exact addresses and booking numbers. Updates are notes, not live location.

Check the weather

The trip page shows current weather and the daily forecast for trip days in the next 16 days - for the destination, or for each upcoming stop. Further-off days show once they are within range.

If it says it couldn't find a place, edit the destination or stop to something like "Da Nang, Vietnam". Forecasts come from Open-Meteo; check local news for warnings. Flight status and delays: use the FlightAware, Flightradar24 or Google links on each flight in Bookings.

Share on PhuongItUp after the trip

  • One update: on any family update, choose Share on PhuongItUp. PhuongItUp opens a new travel story with the title, story, trip name and place filled in. Add photos and publish - it starts as a draft.
  • The whole trip: Trip tools > Make PhuongItUp stories from this trip opens "Split it into days" with the trip name filled in; choose photos and each day becomes a draft story.

PhuongItUp uses its own sign-in and the family-facing trip title (never the private trip name). Nothing is published until you choose to in PhuongItUp.

Post an update to the family WhatsApp

Every shared update has two buttons:

  • Send in WhatsApp opens WhatsApp with the message ready - pick the family chat and send.
  • Copy for family chat copies the same message so you can paste it anywhere (WhatsApp, texts, email).

The message has the family title, the update and the family link so they can read more and comment. Only the trip owner sees the family link, so if your spouse sends it, the link is left out.

Add the trip to your calendar

Trip tools > Add to calendar (.ics) downloads a file. Open it on your phone or computer and your calendar app adds the trip dates, each stop, dated plan days, flights (at the ticket's local time) and hotel stays.

It's a one-time copy: if plans change, download it again (your calendar updates the same events instead of making duplicates in Apple Calendar and Outlook). Passport and visa details are never put in the calendar.

Reuse a trip for next time

Trip tools > Copy as a new trip: give it a name and a new start date. The plan, stops, packing list, checklist and links are copied, with every date moved to match. Packing starts unticked.

Bookings, family updates, comments, people and the family link are not copied - add people and a family link on the new trip if you want them.

Remove someone, stop sharing, or delete a trip

  • One trip: Trip page > Family > People > Remove.
  • The family link: Trip page > Family link > Turn off link or Reset link.
  • All of Trips: Hub Admin > User access > turn the Trips switch off. Takes effect immediately.
  • A shared family account: removing it affects everyone who uses it.
  • A whole trip: Trip tools > Delete this trip and type its name. This removes everything in it for everyone.Archive instead just moves it out of the way.

Deleting an account in Hub Admin permanently deletes trips that account owns.

Open Trips from the GreatAnh hub

  • Your dashboard: Hub Admin > Quick links > Add bookmark. Title "Trips", address https://trips.greatanh.com, icon Plane.
  • Family: in Hub Admin > User access > Apps, set the Trips address to https://trips.greatanh.com. Anyone with the Trips switch on then sees an Open Trips card on their GreatAnh page.
  • Signed in to GreatAnh or Money already? Trips opens without signing in again.

Change the look, name or logo

Hub Admin > Appearance

  1. First time only: under Register a site, enter Site key trips, Display name (for example "Trips") and Host name trips.greatanh.com. Then choose Connect app.
  2. Pick Trips in the site list. Choose its name, parent name, naming layout and logo (including a custom logo from the logo studio).
  3. Either follow Global default (Trips then changes whenever the Hub's shared theme changes) or give Trips its own theme, font, text color and custom colors.
  4. Publish, then refresh Trips. The browser tab icon may need one more refresh.

Until the profile is registered and connected, Trips uses its own default look. Choose Disconnect app to go back to it. Page layout stays the same; only colors, fonts, name and logo change. Your choices also show on family read-only link pages.

When something goes wrong

  • A save failed: your typing stays in the form. Refresh the page to see what actually saved before trying again.
  • "Trips access needed": turn on the Trips switch in Hub Admin > User access.
  • "Account needs existing Trips access" when adding a person: same fix, then add them again.
  • Mom's link says no longer active: it was reset, turned off or is over a year old. Copy the current link from the trip page.
  • Look did not change: check the Trips profile says Connected in Hub Admin > Appearance, then refresh. A brand-new theme or logo design added to the Hub later shows the default until a maintainer updates Trips.
  • Forgot password: use the Money sign-in page's reset option.
  • Whole page fails: try once more, then note the time and page and contact your maintainer. Never share passwords or links in screenshots.

What still needs a maintainer

Everyday use above needs no code. A maintainer is still needed for: first-time setup and the web address, database changes and backups, connecting new features (such as Money spending or PhuongItUp stories), software updates, and copying new Hub themes or logo designs into Trips when the Hub adds them. Signing out of Trips signs this browser out of GreatAnh and Money too.
